What is the University Events Calendar?

The University Events Calendar is a publicly accessible online calendar that contains university approved and sponsored events. Public events are open to a large audience, such as all students, staff, faculty, or the general public.

  • Calendars can be requested by any university college, academic department, university-wide program (e.i. Common Experience), or support department. If you have a website in Gato, you qualify to have a calendar in the University Events Calendar.

  • Recognized student organization will be able to list their events on the Student Organizations calendar that is managed by Campus Activities and Student Organizations (CASO). Any events located at the LBJ Student Center may be listed on the LBJ Student Center calendar. Only official university chartered student organizations qualify for their own calendar.

  • No. The calendar is intended for events in which the audience is university students, staff and faculty and the general public. A private or limited audience meeting should not be listed on the University Events Calendar.

  • Calendars are managed and maintained by each individual department. Because of this, calendar support staff are unable to post events for you. To request that an event is posted, please use the Submit Event button on the calendar you wish to have your event appear on - this button appears in the right-hand menu. Not all calendars will have a submit button, if this is the case, please contact the department responsible for the calendar to coordinate the posting of your event. 

  • This varies among departments. While calendar support staff are unable to provide this information, you can reach out to the department responsible for each calendar for status updates. If you're having trouble locating this contact information, we're happy to point you in the right direction. 

  • Events appearing on the university homepage are curated from the Main Texas State Calendar by the Division of Marketing and Communications (DMC).

  • The Calendar Events Paragraph type allows you to automatically add university events to your website. The events are automatically pulled from the University Events Calendar located at http://events.txstate.edu.

    To add a list of events, create a new paragraph and select “Calendar Event.” Give your events listing a title. Next, choose a calendar to display on your website. Meta-calendars are calendars containing all events occurring under a parent organization and all of its sub-departments and programs. Lastly, choose the number of days in to the future you would like events to be displayed (i.e. 7 days, 30 days, etc.)

  • No, you can simply check the show on calendar option for every calendar you think should display your event before you save your event.  On any calendar you can edit, the event will appear for every show on calendar chosen. 

    For calendars that you cannot access, this will create a pending event entry for that calendar's manager to check and approve.

    The Texas State Main calendar has its own process.

  • The University Events Calendar is made up of individual department calendars that are maintained by the individual calendar owners. Our department (Learning Applications Solutions) supports the software it runs on. Each event contains a contact for that event that should be able to answer your questions. If you need help finding the contact, email events@txstate.edu, and let us know which event you are interested in, and we will look it up.

  • All editors must complete our self-paced training prior to being given access. Once this has been completed, please submit the Update Calendar Editors Form. We will confirm that your access to the calendar is authorized by reaching out to the documented calendar managers.

    • Save your own personalized list of events of interest that you find on website calendars.  
    • Store personal information and preferences, such as your account time zone.  
    • Manage reminders and event update notifications for saved events.  
    • Monitor and manage registration for events you sign up to attend.  
    • Track and manage calendar email subscriptions.  
    • View the status of, cancel, or withdraw events you submit.
    • What information from my sign-in account does this app access?
    • The Event Actions web app accesses only your sign-in name and email address.

  • For editors that have access to multiple calendars, the color coding allows them to differentiate events on their calendar while in edit mode.  Each event will correspond to the color of the calendar in the publication window.

  • You may request that your event be added to the main University Events Calendar by following the submission process outlined for Trumba Editors and General Users.

  • Your event could have been rejected for a number of reasons. Please thoroughly review our event standards to ensure all event criteria has been met.

  • If you are sure that your event meets all standards, but was still rejected, you can enter in to the appeal process by emailing umarketing@txstate.edu. Please include the event information (for each required field on the event submission form) and why you think it belongs on the Main Texas State calendar for a broad audience. Our review committee will consider your request within 48 hours (during regular business hours).

  • Want to Add an Event? Some events will not meet the standards of the main events calendar, but still need to be publicized for your department calendar.  Please fill out our branded calendar form to receive a personalized calendar page that you can use to advertise your events.

    This page uses the same template as the main events calendar. A secondary use of this template is also to allow for public event submission to your events calendar.
